This Privacy Notice explains how KnBases LLC ("we", "our", or "us") collects, uses, discloses, and protects your information when you use our Resolve App ("the App", "the Services") within Microsoft Teams™. We respect your privacy and are committed to protecting your personal data.

2. INFORMATION WE COLLECT

We collect and process the following types of information:

  • User Profile Information: Name, email address, and other profile data available through your Microsoft Teams™ account.

  • Usage Data: Information on how you use the App, including incident reports, requests, and interactions within the App.

  • Content Data: The content of incidents and requests you submit through the App.

3. HOW WE USE YOUR INFORMATION

We use your information for the following purposes:

  • To provide and maintain our Services.

  • To process and manage incidents and requests.

  • To improve and personalize user experience.

  • To communicate with you about the Services.

4. DATA STORAGE AND SECURITY

4.1. File Attachments: Stored exclusively in your organization's Microsoft 365 account. We don't access these files directly.

4.2. All incidents data is stored on secure servers in the U.S., with layers of security to keep your information protected and in compliance with U.S. data protection laws. This data is used solely for processing and managing incidents within your organization and is not used by us for any other purpose.

4.3. Data Encryption: All data is encrypted both in transit and at rest.

4.4. We implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk.

4.5. Access to the stored incident data is strictly limited to authorized personnel within your organization and our technical team for maintenance and support purposes only.

4.6. Data Retention and Disposal: When an organization administrator requests to close their organization's account, we retain all organization data for 30 days from the date of the request. During this retention period, all data remains securely stored and can be accessed if the administrator requests to reactivate the account. After the 30-day retention period, all organization data, including incident history, requests, and associated information for all users within the organization, is permanently and securely deleted from our systems with no possibility of recovery. This process ensures both data security and organizational privacy while providing a reasonable timeframe for potential account reactivation or data recovery if needed. Only organization administrators have the ability to request account closure.

5. DATA SHARING AND DISCLOSURE

We may share your information with:

  • Your organization's administrators and other authorized users within your Microsoft Teams™ environment.

  • Service providers and partners who assist us in operating the Services.

  • Law enforcement or other governmental agencies, if required by law.

6. YOUR RIGHTS

Depending on your location, you may have certain rights regarding your personal data, including:

  • The right to access your personal data.

  • The right to rectify inaccurate personal data.

  • The right to erasure of your personal data.

  • The right to restrict processing of your personal data.

  • The right to data portability.

We may update this Privacy Notice from time to time. We will notify you of any changes by posting the new Privacy Notice on this page and updating the "Last updated" date.
